Privacy policy
ClassroomLens helps schools record lesson observations and see the patterns in them. This page explains what information the service holds, where it goes, and who can see it. We have tried to keep it plain.
Who is responsible
ClassroomLens is operated by [legal operator name and address, to be confirmed]. Questions about privacy go to admin@classroomlens.com.
Your school decides what to record and why. In data protection terms, the school is the controller of the observation information, and ClassroomLens processes it on the school’s behalf and on its instructions.
What we hold
| Information | Examples |
|---|---|
| Account details | Name, work email address, school, role, and your sign-in details (passwords are handled by our authentication provider and are not readable by us). |
| Observation records | Teacher name, subject, year group, class size, and the number of boys, girls, and students with SEND, EAL, gifted or Emirati status. The observer’s name and role, their answers and notes, the resulting ratings, and the written report. |
| Evidence files | Photos or files an observer chooses to attach to an observation. |
| On your device | Your sign-in session, your dashboard filter choices, and an unsaved observation draft, kept in your browser so you do not lose work. |
We do not ask for student names or student identification numbers. Observers should not type student names or other identifying details into notes, and should only attach photos of students if their school’s policy allows it.
How we use it
- To run the service: saving observations, scoring them against the framework, and showing results to people at the same school.
- To generate written reports (see the next section).
- To keep the service secure and fix problems.
We do not sell information, show advertising, or use observation records to build profiles for any other purpose.
AI-generated reports
When a report is written, the details of that observation are sent to Anthropic, the company that provides the Claude AI model we use. This includes the teacher’s name, subject, year group, class counts, the observer’s name and role, the ratings, and any notes the observer typed. Evidence files are not sent.
Under Anthropic’s commercial terms, information sent to it through this service is not used to train its models.
Where information is stored and who provides the service
| Provider | What it does | Location |
|---|---|---|
| Supabase | Database, sign-in and file storage | Sydney, Australia |
| Netlify | Hosts the website and the report-writing function | Global network |
| Anthropic | Writes the AI report text | Processed outside the UAE, including in the United States |
This means information moves outside the UAE. We only use these providers to run ClassroomLens, and each is bound by its own security and data protection commitments.
Who can see observations
- People with an account at the same school, through their ClassroomLens sign-in. Staff at one school cannot see another school’s observations.
- ClassroomLens, only when needed to provide support, fix a fault, or keep the service secure.
- The providers listed above, to the extent they need it to do their job.
We will also disclose information if the law requires it.
Security
- Information is encrypted in transit (HTTPS).
- The database restricts each school to its own records.
- Evidence files are stored privately and opened through links that expire after an hour.
No system is perfectly secure. If we become aware of a breach that affects your information, we will tell the school without undue delay.
How long we keep it
We keep a school’s observations while it uses ClassroomLens. If a school asks us to delete its information, or closes its account, we will delete it within 30 days. Copies in routine backups are removed as those backups expire.
Your rights
You can ask to see, correct or delete information about you. Because the school decides what is recorded, teachers and observers should usually start with their school. You can also contact us at admin@classroomlens.com, and we will pass requests to the school or act on them as appropriate.
Cookies and tracking
ClassroomLens uses your browser’s local storage only for things the service needs to work: keeping you signed in, remembering your filters, and saving an unfinished observation. We do not use advertising or tracking cookies.
Children
ClassroomLens is for school staff. Students do not have accounts.
Changes
If we change this policy in a way that matters, we will update the date above and tell schools that use the service.
